What is the employee space?
The employee space provides employees with secure access to their personal information and documents. Employees can access the employee space via desktop or mobile devices.
It helps reduce administrative effort while increasing transparency for your team.
What employees can do in the employee space
After logging in, employees are taken to an overview page with access to:
Documents
e.g. contracts, payslips, or other recordsEmployment details
key information about the current employment relationshipPersonal details
e.g. address, last name, or contact informationAbsences
if absence requests by employees have been enabledSettings
e.g. language or profile picture
If employees want to update details such as their address or information about children, they can do so directly in the employee space. These changes are immediately visible to both HR admins and payroll.
Using the Upload Documents button, employees can submit additional documents (e.g., enrollment certificates or Tax ID confirmations). They can also access payroll-relevant documents such as payslips or annual tax statements.
Activate the employee space for employees
Open the employee overview
As an HR admin, the easiest way to access and activate the employee space is by selecting the menu "Employee Space" in the main navigation bar on the left.
After clicking the blue button "Set up now", you’ll see a table listing all employees. If a private email address has already been stored for an employee, it will be displayed here.
At the same time, you can also navigate to there by selecting the Settings menu in the left-hand navigation. There, you’ll see the Employee space section.
If the employee space has not yet been enabled, you can activate it here using the Activate employee space button.
If the employee space is already enabled, you can manage it from here using the Manage employee space button.
After clicking the button, you’ll see the same table listing all employees.
Add and review email addresses
Employees without a personal email address are marked with a blue Add email address button. Click the button to enter the email address.
We recommend using a personal email address instead of a work-related one so employees can continue to access the employee space even after leaving the company. |
If an email address is already stored for an employee, it will be displayed here. Please review it carefully.
Activate and send invitations
The employee space needs to be activated once. To do so, select the employees you want to activate with a click on the checkbox left of the employee's ID. You can also select all employees at once with a click on the top-level checkbox.
Then click the blue button at the bottom center of the page, "Activate and send invitations".
In the window that opens, confirm the invitation by selecting the checkbox. Then click "Activate and invite".
Invitations are automatically sent to the stored email addresses. Additionally, you can generate an invitation link to share manually via a secure messenger or internal system.
All employees with a stored email address will be invited. They will appear as active once they log in for the very first time.
What invited employees see
Access and first login
Each invited person receives an email with a link to create their Employee Space account. Registration requires setting a secure password.
After registering and logging in, employees have access to:
their personal details,
payslips and other payroll-relevant documents, and
additional important documents such as contracts or certificates — all in one central location.
Monitor and Manage Activation Status
Monitor Employee Space Usage
To monitor the activation status, open the Employee space menu again via the main navigation bar on the left or the Settings menu, then select Manage employee space.
There are two TABs that differentiate employees between "Not Activated" and "Activated". Status indicators are also color-coded:
Green: Activated
Grey: Pending
Red: Deactivated
Pending invitations have not yet been accepted.
Resend invitations or revoke access
In the “Manage Employee Space” menu, click the three dots on the right side of a row to trigger additional actions. You can choose to:
resend invitations, or
revoke an invitation (for example, if an incorrect email address was used).
Deactivate the employee space
An already activated Employee Portal cannot be deactivated.
