Admin and manager roles
HR admin permissions
HR admins have access to all employee and company data in project b. As an HR admin, you can:
create new employees,
enter or update all master data and contract details,
end employment contracts,
view and manage all stored documents,
maintain company data, and
invite other admins and managers or revoke their access.
As an HR admin, you are responsible for determining who has access to the platform and its data. Regularly reviewing and maintaining access rights helps improve data security and ensures that roles always reflect current responsibilities. |
Manager permissions
Users with the Manager role have extended permissions compared to regular employees, but are more restricted than HR admins.
They can review and respond to absence requests fromemployees who are assigned to them (approve or reject).
Managers also receive email notifications about incoming absence requests from their assigned employees, similar to HR admins.
Manage users and access
View all admins and managers
Open the dashboard in project b. and navigate to the Administrators tab in the left-hand menu.
Here, you’ll find a complete overview of all users with extended permissions on your platform, including:
Name,
Role (HR admin or manager),
Invitation date, and
Current access status (for example, active or pending invitation).
HR admins and managers are highlighted in different colors, allowing you to quickly distinguish between the roles.
Adding administrators or managers
You are in the Administrators menu. Follow these steps:
Click Add team member in the top-right corner.
A window opens where you can choose whether to invite the person as an HR admin or manager. Select the role by clicking on it.
Enter the person’s first and last name as well as their email address.
Choose whether you want to send the invitation directly by email or generate an invitation link to share manually.
Select the preferred language for the invitation.
After confirming, the invitation is created and the user can set up their account immediately. In the overview, the new user appears with the status Pending until the invitation has been accepted.
If you choose to send the invitation by email, the system sends the email automatically and immediately. If you choose to generate an invitation link, you must share the link with the invited person yourself. The link allows the user to create their account. |
Revoke access for an admin or manager
If a person leaves the company or no longer requires extended access, you can remove their permissions at any time.
Open the Administrators tab.
Find the relevant person in the list.
Click the three-dot menu next to the name.
Select Revoke access.
The admin or manager permissions are disabled immediately in project b. The person will no longer have access to the relevant areas or data.
Resend or withdraw existing invitations
Invitations that have not yet been accepted are marked with the status Pending in the overview.
Open the Administrators tab and find the relevant invitation.
Click the three-dot menu to the right of the entry.
You can then choose from the following actions:
Copy invitation link: Copies the link so you can share it again manually (for example, via a messenger).
Resend invitation: Sends the invitation again by email to the stored address.
Withdraw invitation: Cancels the invitation. The link becomes invalid and the person can no longer create an account using this invitation.
