End employment relationships and request an employment certificate directly.

In this article, you will learn how to terminate employees in the system and how to request an employment certificate (Arbeitsbescheinigung) in the same step.

We also explain how fixed-term contracts are handled and what happens to document access after termination.


End an employment contract

To document an employee’s departure and share it with your payroll specialist, you need to end the employment contract. This applies regardless of whether the contract was fixed-term or open-ended.

Open the contract in the employee record

Open the People section from the main menu on the left. Find the relevant person and select the corresponding employment. The profile opens on the Master data tab. Switch to the Employment tab.

Here, you’ll see the red Terminate contract button.

Finalize the end of employment

Click Terminate contract to open the termination dialog. Here, you can enter the following information, among other things:

  • Termination type, e.g., resignation, termination agreement, regular contract end,

  • Last contract date (last working day or contractual end date),

  • employment certificate required (Yes/No), and

  • attach a supporting document, e.g., signed termination letter or agreement.

After entering all details, click Proceed to review to check your inputs. Click End contract to finalize the departure. Your payroll specialist will be informed of the changes automatically.


Requesting an employment certificate

The employment certificate must be provided to employees upon request. It is used to determine eligibility and the duration of unemployment benefits.

If an employment certificate is required, set the field "Employment Certificate Required" to "Yes" in the termination dialog.

Required Information for the Employment Certificate

Regardless of whether a supporting termination document is available, you must answer additional questions so that the employment certificate can be created correctly. These include in particular:

  • Last contract date
    The last day of the employment relationship. This determines up to which date the employment is considered in the certificate.

  • Delivery of termination
    Specifies how the termination was delivered to the employee (for example, by post or handed over in person). This information is relevant for the legal assessment of notice periods.

  • Notice period (value and unit)
    Specify the length of the notice period (for example, 4 weeks or 1 month) and the unit used to calculate it.

  • Reference point for the notice period
    Indicates from which point in time the notice period is calculated (for example, from the end of the calendar month or from receipt of the notice).

  • Initiator of termination (Who gave notice?)
    Specify whether the termination was initiated by the employee or by the employer. This information is relevant for assessing the employment relationship.

  • Breach of contract in case of termination by the employee
    If the employee terminated the contract, you must indicate whether there was a breach of duty by the employer (for example, unpaid wages). This information is relevant for the Federal Employment Agency.

  • Termination for other reasons in case of termination by the employer
    If the employer terminated the contract, you must specify whether the termination was for “other reasons” (for example, conduct-related or personal reasons). This information is also taken into account when assessing the employee’s entitlement.

Cancel a recorded termination

You can easily cancel a recorded termination. Open the employee profile and switch to the "Employment" tab. Click "Show Details" to view the termination information and select the red button "Cancel Termination."

There, select View details at the top of the screen.

Here, you’ll see an overview of the recorded termination details. From this page, you can cancel the termination by clicking the red Cancel termination button.


Reminders for fixed-term employment contracts

Notifications for expiring contracts

If a contract is fixed-term, project b. reminds you in the calendar month of the planned termination. You will see notifications:

  • In the Overview page under Ending Contracts;

  • In the People menu marked with the tag Contract End

End fixed-term employment contracts

Fixed-term contracts must also be actively ended so that the end of employment is correctly communicated to your payroll specialist.

  1. Open the employee profile in the People section.

  2. Switch to the Employment tab.

  3. Click Terminate contract and enter the end-of-employment details.

Updating fixed-term employment contracts

If a fixed-term contract is extended or converted into a permanent contract:

  1. Open the employee profile via People.

  2. Switch to the Employment tab.

  3. Click Edit.

  4. Update the relevant fields, especially:

    • contract type (for example, from fixed-term to open-ended),

    • contract end date (set a new end date or remove the end date).

  5. Save your changes.

All changes are automatically shared with your payroll specialist and are taken into account for future payroll processing.

Access to documents after the end of employment

If the employee space is enabled, employees generally retain access to their most important documents even after the end of employment (for example, payslips and annual income tax statements).

We recommend using a private email address for portal access. This ensures former employees can still retrieve their documents after leaving the company.
