How to adjust salaries, hourly wages, and other income types in an employee's profile

In this article, you'll learn how to set up, change, or end an employee's income in the Payments tab. You'll learn how to adjust hourly rates or monthly salaries, reduce hours, and add bonuses or commissions. You'll also find out what to keep in mind when making retroactive changes.

Overview: The "Payments" tab

You'll find all payment data in the employee profile under the Payments tab. The tab is divided into four sections:

  • Salaries and wages - regular income (base salary, base wage, night hours, night surcharge for public holidays

  • Bonuses and commissions - regular performance-based payments and more general, sometimes irregular payments

  • Benefits in kind - purpose-specific benefits that provide a monetary advantage (for example, company car, job ticket, or meal allowance)

  • Net additions/deductions - reimbursements, net deductions, and net additions that directly affect net income

At the top of the tab, you'll see the total gross amount for the current month as a summary overview.


Salaries and wages

Add income

1. Open the form

In the Salaries and wages section, click Add income.

2. Select income type

In the Type field, select the appropriate income type:

  • Base salary - fixed monthly salary

  • Base wage - hourly wage with monthly hours

  • Night hours - surcharge for night work

  • Night surcharge public holiday - surcharge for work on public holidays

Different input fields appear depending on the selected type.

3. Enter details

Fill in the fields shown:

  • For base wage: enter the hourly rate (€) and the hours per month. The monthly gross total is calculated automatically.

  • For base salary: enter the monthly amount (€).

  • For night hours and night surcharge public holiday: enter the start date and amount (€).

4. Set start date

In the Start date field, select the date from which the income should apply. The start date determines from which month the payment will be included in payroll.

5. Save

Click Save. The new income appears in the Salaries and wages section with the status Active.


Change existing income

Typical changes include, for example, a salary increase, an adjustment to the hourly rate, or a reduction in monthly hours (such as switching from full-time to part-time).

1. Open the edit menu

Click the pencil icon to the right of the income you want to change. Two options appear:

  • Change base wage (or Change base salary) - opens the edit form

  • End base wage (or End base salary) - ends the income

Select Change base wage.

2. Adjust values

Change the desired fields, for example:

  • Hourly rate (€) - for a wage increase or decrease

  • Hours per month - for a change in working hours, for example from 80 to 70 hours

3. Set the effective date

Below the input fields, you'll see the option to set the effective date of the change:

  • 1st of the current month - the change applies from the beginning of the current month

  • From a different date - you choose a custom start date

Note: if you select a date in the past, earlier payroll runs may need to be corrected. The current base income is updated immediately.

4. Save

Click Save to apply the change. The updated income and the new total gross amount are displayed immediately in the Payments tab.


End income

If an income type no longer applies - for example because an employee no longer works night hours - you can end the income instead of deleting it.

  1. Click the pencil icon next to the relevant income.

  2. Select End base wage (or the corresponding income type).

  3. Confirm the termination.

The income will no longer be included in payroll from the selected date.
